"What you should know about AI to make the right decisions," was the session I led last week at the Rutgers University School of Management and Labor Relations and SHRM 19th Annual Spring Business Conference, Building Future Human Capital Leaders: Harnessing AI and Fostering a Global Network for Success.    During the session we discussed the various types of #AI being deployed and the key differences, the technical terms people must understand when making decisions about AI and, finally, the necessary steps to get started.   I finished with a short case study on how AI impacts call centers today versus 20 years ago. I was then joined on stage by Jill Albanese, CHRO from Mathematica, and Professor Hadi El-Farr from Rutgers. We were asked questions about the multiple issues facing HR departments when implementing AI in both business and HR units.   Here are some key takeaways for participants: 1. Identify employees who have a desire and flair for working with AI. 2. Make sure they understand and are able to translate application requirements from users to technical teams. 3. Track how AI will affect the business sector in which your firm operates. 4. Understand the great potential that AI offers to #HR and the business. 5. Have an office responsible for tracking all the organization's AI efforts. The Q&A session revealed two essential concepts. First, when using #AI, remember that there is the potential for exposing a company's proprietary information. Second, it is important to carefully analyze AI application priorities and identify where it makes the most business sense to invest in this technology. I shared with the audience a tool to help them a way to analyze these opportunities.   AI is coming at us slowly … until it arrives suddenly. Workday Business Process Notifications Ever had a situation where a missed notification disrupted critical workflows? For a healthcare organization managing a workforce of clinicians and staff across multiple facilities is a pressing challenge. Healthcare professionals, such as nurses and doctors, must maintain up-to-date licenses and certifications to comply with regulations and provide patient care. Step-by-Step Guide to Configuring Notifications for License Expiry Step 1: Identify Key Stakeholders for Notifications -Employee: The healthcare professional whose license is nearing expiration. -Managers: Department heads who must ensure coverage if a license lapses. -HR/Compliance Team: Responsible for tracking and managing credentialing workflows. Step 2: Design the Notification Triggers ->Notifications are strategically placed to ensure timely actions: -Initial Reminder: Sent 90 days before the license expiration. -Follow-Up Reminder: Sent 30 days before expiration. -Escalation Alert: Sent 10 days before expiration to the manager and compliance team. -Action Completion Notification: Sent once the license is updated in the system. Step 3: Configure Notifications in Workday ->Navigate to Business Process Definition: -Locate the “License Renewal Process” under Business Process Definitions. -Click Edit Definition. ->Add Notification Steps: -At critical milestones (e.g., 90 days before expiry), insert a Notification Step. -Choose the appropriate Event Type (e.g., Pending, Escalation, Completed). ->Customize Notification Content: -Include critical details in the message: -“Your {License Type} is set to expire on {Expiration Date}. Please renew by this date to avoid disruptions.” -Use Workday’s dynamic fields for personalization. ->Configure Recipients: For follow-up reminders, include managers and the compliance team to share responsibility. ->Automate Escalations: Set up reminders with increasing urgency as the expiration date approaches. Step 4: Test and Refine the Workflow Simulate various scenarios: ->An employee responds to the first notification,verify that subsequent alerts stop. ->The license is not updated,ensure escalation alerts trigger correctly. Collect feedback from users to improve clarity and content of notifications. Pro Tip: Add Attachments to Notifications ->Enhance your notifications by attaching instructions or links to renewal portals directly within the message. Example: -“Your {License Type} is set to expire on {Expiration Date}. Please complete your renewal via [this link](License Portal Link). Find attached a step-by-step guide to help you through the process.” -This removes ambiguity and speeds up action, making it easier for employees to comply.
