Company leaders are refocusing their operations for the second half of the year, and they’re looking for better tools and software solutions to do that. In certain industries — such as manufacturing, construction and professional services — the biggest challenge is finding the right fit that can incorporate easy customizations for the company’s unique project requirements, handle a large number of jobs without a significant increase in software licensing costs, and integrate supply chain information such as supplies, storage and shipping.

When we help clients find new project management software, we often see that they’re juggling several systems — spreadsheets, emails and shared documents in different online cloud storage apps — and have no centralized location to manage tasks and projects. Also, top executives often don’t have an operational performance dashboard to see key performance indicators or an overall view of their projects and teams’ performance. In essence, it’s tough to manage a high volume of projects in one place and know the significant metrics that actually matter for business operations.

During several national and global crises this year, companies have discovered a magnified need to do more work remotely and create a better cloud-based collaboration space for their team. Oftentimes, documents and content are stored in different locations, business applications aren’t integrated, and outdated intranet portals don’t support modern collaboration and content sharing. Employees spend time finding documents or asking questions, and leaders lack project management platforms to track key performance indicators or manage work in a centralized portal. Simply put, collaboration, project management and reporting aren’t happening in the best way possible.

At the same time, so many cloud-based collaboration and productivity software options are available that it can be tough to figure out what’s best. You may know your goals and have an idea of the right path, but some technology products may only fit some of your needs or require additional customizations to provide the right functionality. On top of that, recurring costs should be factored into the software selection process, as well as the potential risk of replacing software if the right one isn’t chosen initially.

Although picking or switching to new software and technology platforms can seem complex and time consuming, using the right strategy can minimize those challenges. I often recommend these three tips:
