No, this is not my tech stack. Yes, it's overcomplicated. But here's why... I recently helped a client automate their profitable (but manual) webinar system. They are getting money and getting burned out at the same time. They need relief from the process but also need to continue to generate profit. A true case for automation. Here's some insight into my approach: 1️⃣ 𝗟𝗲𝘃𝗲𝗿𝗮𝗴𝗲 𝗲𝘅𝗶𝘀𝘁𝗶𝗻𝗴 𝘁𝗲𝗰𝗵. Don't rush to new tools. Work with what's there, especially when you're just starting out. 2️⃣ 𝗧𝗿𝗮𝗶𝗻, 𝗱𝗼𝗻'𝘁 𝗿𝗲𝗽𝗹𝗮𝗰𝗲. Instead of taking over, I trained their ops manager. This builds internal capacity and keeps the client in control. 3️⃣ 𝗦𝗶𝗺𝗽𝗹𝗶𝗳𝘆 𝗴𝗿𝗮𝗱𝘂𝗮𝗹𝗹𝘆. Sometimes, keeping familiar processes is better than introducing new ones. Minimal changes can lead to maximum adoption. 4️⃣ 𝗘𝗺𝗽𝗼𝘄𝗲𝗿 𝘁𝗵𝗲 𝘁𝗲𝗮𝗺. By guiding their marketing person to build the system, they now understand and can manage it independently. The result? A streamlined, automated webinar system that the client's team fully owns and operates. Did I mention how thankful their marketer was? Went from imposter syndrome to "it's possible!". They got the help and expert guidance that they didn't know how to ask for and I provided a safe space for them to be "dumb" without judgement. Do me a favor...check in on your marketing person. They may be more overwhelmed than you realize. Better yet, they may be one resource away from having their true potential unlocked for your business. If you feel your tech person could they use some training to automate your business more effectively? Let's have a conversation about it...

This is big. It might seem like a simple statement, but what it describes will disrupt industries. The knot you get in your stomach when that change management email hits your inbox? Or the deep breath you take when reminding yourself to smile when fielding questions about the new platform rollout? This is that, but on a whole new level. Co-Founder and former CEO of HubSpot, Brian Halligan, suggests that software will move past it's role as a "do it with assistance" tool to become a "do it for me" tool. Why does that seem so big to me? Well, this is a product change that will impact a group of people who aren't ready for it. At all. You get the knot in your stomach for the same reason there’s one in mine right now: the largest gap for any software is end-user comfort with using the tool. The second largest gap is their discomfort when the software changes. The spectrum of comfort with software used by employees at any company, and in any industry, spans from “no-thank you” to “super user”. System admins are getting squeezed already. They’re about to get overrun. Moving from “I can use this software" to “this software will do it for me” is going to be a licensing, provisioning, and file governance nightmare. What a HUGE opportunity for IT and L&D partnerships!! Coaching and guiding employees through these shifts is the most important thing system admins can do going forward. Getting from here to there depends on it.

Have you ever thought that maybe it's time to just return to the basics? Have you considered that maybe the main tools you use every day to conduct business are really the ones that could use the upgrade, instead of looking for the newest, most advanced software application that will "revolutionize the way you do business"? That is just one of the ways 37signals is being strategic with digital tech. Well, I think we all know by now that I love a #system. I also love a system that I can set up once and let do it’s thing. There are so many small pieces of #business that can be #automated today - from filters & rules within your email inbox categorizing emails instantly to software that will assist with your entire workflow. Many creatives are solo #entrepreneurs - we are wearing many, many hats and we’re just trying to get it all done. Those of us that do have teams are still quite often juggling a bit. This is why I love automating what we can - it allows for tech and the computers to take some of the load off. Anything you can do to add functionality, increase your productivity and efficiency is fabulous. Don’t be afraid to be an early adopter of such technology and to try new things. Does your accounting software allow you to sync your credit card reporting and let you sort it rather than manually entering? Great! Want to set your Gmail to automatically delete emails with the word “unsubscribe” in the body to weed out the amount of junk you’re getting? Perfect. A few additional tools that I love to use: * AI Notetaking: This is especially great if you’re in 1:1 meetings with clients without a team and need to present with your hands, but also need a record of the meeting. Calendly: Rather than spending time going back and forth over availability, sending your clients your Calendly link and letting them view your availability and schedule what is best for them makes it so easy. You can block off times that you don't want to hold meetings and/or limit your availability to certain days or blocks. Zapier: I try to integrate as many functions as I can into one ecosystem, but it doesn’t always work. Once you make a sale, sometimes you need an email sent out. Zapier allows you to set up automated workflows - once a trigger hits, it automates an action, which makes YOU look so on top of it all. When it comes to implementing new tools in your organisation, one of the biggest mistakes you can make is bringing in a tool without the commitment to invest time and energy into it. Too often, we see companies excitedly onboard new software, only to let it gather dust when the initial enthusiasm fades. The truth is, the most advanced tool in the world won’t make a difference if it’s not properly integrated, supported, and nurtured. I learned this the hard way. Especially as a small business, paying for expensive software only to not properly integrate it. Before you introduce a new tool, ask yourself: - Do we have the resources to train our team effectively? - Are we committed to embedding this tool into our daily processes? - Can we dedicate the necessary time to adapt and optimise it for our needs? Without these commitments, you’re not just wasting money—you’re also missing out on the potential benefits that the right tool, used well, could bring to your business. When this doesn’t happen you might often blame the tool. I’ve been there too. As a small business owner, I’ve lost count of how many tools I’ve tested, purchased, misused or didn’t use. It’s expensive and time wasting. Invest in the tools you choose, or they won’t invest back into your success. This applies to any tool.
